Avon Community Center Meeting Minutes Avon City Hall Monday, May 17, 2021 ACC Chair Mike called the meeting to order at 6:30 p.m. Those present were: Joann, Mike, Rick, Cheri, Stephanie, Judy, Rosie and Margie. Absent: Cheryl & Jeff. Secretary’s minutes were approved as presented to committee. M-Stephanie /S-JoAnn/P Treasurers report was read as $13, 950.38 as of April 13, 2021. A May treasurers report is not available at this time as the Over the Hills of Avon Seniors did not have a meeting this month and there was not enough time to request a current report when this meeting was set up. The current report was approved subject to audit.
St. Benedicts- Mike- The Church Finance meeting for tonight, Monday May 17 was canceled until June. Mike met with Char at the church office – it seems that the church committee is confused on our “letter of intent” and the difference between the OHA Seniors and the Avon Community Center. They figured that both were one entity, which they are not. Char then provided a “letter of intent” for the OHA Seniors. M-JoAnn/S-Rick/ P to accept the “letter of intent” from the Church.
Liability Insurance- To use St. Benedicts hall in the church basement once a month we need to provide a liability insurance. Mike visited with 2 insurance agencies in the Avon area who both supplied bids. It was decided to purchase insurance from Schmidt Insurance Agency in Avon for the fee of $250.00 for 1 year, Ram Mutual Insurance Company is the provider. M-Margie/S-Judy/P
St Benedicts Church Hall- The Bishop has now removed the restrictions of serving food in the area churches as of May 28, 2021. The OHA Seniors will hold their next meeting on Tuesday, June 8 at the Church Hall. The second Tuesday of every month for the next year will be reserved by the church office for the OHA Seniors to use the hall.
Grants- Now that we have secured a permanent meeting place for OHA Seniors and a future home for the Avon Community Center with a physical address we can now start applying for grants. Mike is going to try and to organize the start of this. We are looking for anyone in the community that knows of grants and/or wish to help us with this.
St Benedicts Finance Committee will meet on Monday, June 21. Mike & Rick are on the agenda for this meeting.
Cheryl Knox (through text to Margie) submitted her resignation from our committee. She will stay on as Webmaster for our Website. M-Margie/S-Stephanie/P to accept her resignation.
501c3 for ACC- Question was brought up if the Avon Community Center needs it’s own 501c3 or can we just survive with OHA & ACC using one? There was discussion on visiting with a lawyer to get a professional opinion. Margie and JoAnn will work together on getting this done.
Committee plans on having a table at Spunktacular Days with information on the Over the Hills of Avon Seniors and the Avon Community Center in the craft table section of the event.
The Albany Jaycees has declined our request to use their gambling license for a Cash Raffle. The committee has decided to apply for a 1 time license from the State of Minnesota so they can hold a raffle. They have the approval of the Avon City Council to proceed with this.
Candy Bars- We are still selling the candy bars. We have about 150 left. Two members are selling them this weekend at an event.
Facebook- She has posted the selling of Candy Bars and Amazon Smile account. It was suggested that she post a request for grant writers to seek help with this.

Avon Community Center Meeting Minutes Avon City Hall Monday, March 2, 2021
ACC Chair Mike called the meeting to order at 6:30 p.m. Those present were: Joann, Mike, Rick, Jeff, Cheri, Stephanie, Judy, Rosie and Margie. Absent: Cheryl. Secretary’s minutes were approved as emailed to committee. M-Stephanie /S-JoAnn/P Treasurers report was read as $13, 805.38 as of March 9, 2021. Approved subject to audit.
Old Business: Mike & Rick- No letter of Intent on the Usage Agreement has been received from St. Benedicts Catholic Church Finance Committee as of March 2. The Letter of Expectations was delivered to them 2 weeks earlier when we asked for the Letter of Intent.
Fundraising- JoAnn - The committee is presently working on a Cash Calendar Raffle for the month of July, to be sold in May and June. We are working with the Albany Jaycees once again. - Willy Wonka Candy Bar sale- We still have candy bars to sell but are slowly selling out. Donna Kremers and Trish Kilanowski are looking to sell candy bars at Coborns once they get the stores approval. - Spunktacular Days- Group is planning of having a booth with information on our Senior Group and about the Community Center, if the event is not canceled.
Media- Facebook- Stephanie She has been posting on Facebook once a month with what is happening.
Website - Cheryl She has been keeping up with updates on the site and it looks great.
New Business - The Usage Agreement states we need to supply insurance coverage in case of accidents. Mike will get quotes from Kremer Insurance and/or Schmidt Insurance on what kind of insurance we need and what our yearly costs are. - We need to see if the Church can block off the second Tuesday of every month exclusively for our use of the Church Basement until we can do remodeling and move into the school. Funerals and other functions would have to be scheduled around us and not their activities. - We would use the church basement only once a month. Senior activities will not expand until we move into the school area for the Community Center. Grants Nothing can be done until we have a permanent location with an official address. Avon Community Center Meeting Minutes Avon City Hall Monday, February 22, 2021
ACC Chair Mike called the meeting to order at 7 p.m. Those present were: Joann, Mike, Rick, Jeff, Cheri, Stephanie, Judy and Margie. Absent: Cheryl. Secretary’s minutes were approved as emailed to committee. M-Rick/S-Stephanie/P Treasurers report was read as $1,874.16 as of February 9, 2021.
Old Business: Mike & Rick met with St. Benedicts Catholic Church Finance Committee on Monday, February 15 via Zoom meeting. They suggested that we start using the school area as Over the Hills of Avon Senior Group because of the 501c3. Concern is insurance policy and ACC is wondering if we could do an umbrella policy between the seniors, food shelf and Montessori school? We want a Community Center and not a Senior Center so the church wants us to use the church for our senior gatherings until we can transition into the school as a Community Center. Mike will put together a “Letter of Expectations” to provide to the church on an agreement for usage of the school
Fundraising- JoAnn- - A committee meeting will be held on March 4. Thoughts of another Cash Raffle this year and possibly a meat raffle are in consideration. - Willy Wonka Candy Bar sale- We have 580 candy bars left to sell. We are in need of more places to sell these since the shut down places have been limited.

Website - Cheryl Cheri has discussed updates with Cheryl plus the most current monthly newsletter.
Community Center Announcement- Cheri is to send an update to the City Clerk to put into the City Water bill about the Community Center and use Margie Evens number for questions.New Business:
The Letter of Expectations was discussed. We need a better discussion on the use of bathrooms and need to revisit the handicapped door to be added.
Margie brought forth the confusion of people making out checks to the Over the Hills of Avon because of the 501c3 but wanting the money to go towards the Avon Community Center. “As long as the donating party puts in the memo line: Avon Community Center donation, the money will be put into the Center fund account. The OHA 501c3 is a vehicle for the Center’s donation account.”

ACC Chair Mike called the meeting to order at 6:35 p.m. Those present were: Joann, Mike, Rick, Jeff, Cheri, Judy and Margie. Absent: Cheryl, Stephanie. Guest: Eric Linn Secretary’s minutes were approved as emailed to committee. Treasurers report was read as $13,480.69 as of December 8, 2020. Changes to the Agenda were made. M- JoAnn/S-Rosie/ P
Old Business: We did a year in review as to what has gone on with this committee.
St. Benedicts Church was visited by Rick and Mike. Contractor was also present to review change in ideas of floor plan. A bid from Sunridge Contractor was for $120,000. Kurt Thielen had another contractor do an estimate but we have not been given that quote. We need to get a written commitment for the space and be heard as to what our needs are in the remodeling process. Rick and Mike also visited with Father Edward around Christmas and he is in favor of us using the space but Church Council rules decision. We want to make sure that they understand that this will be a Community Center and not a Senior Center. Church is firm on liability insurance at our expense. “Can we obtain an umbrella policy that would include us, the food shelf and the Montessori School?”
Fundraising- JoAnn- - Amazon.Smile.com Payment will be coming in February for those using our account. The 990N affected the mailing address for the site as Mike filled out the form and used his own address. Hopefully JoAnn and Stephanie can get this fixed.
- Willy Wonka Candy Bar sale- We have sold $960 worth of candy bars so far with another 690 candy bars to sell. There is a possible 40 golden ticket winners. About half have been turned in so far.
- Other Fundraisers being considered for 2021:
- Cash Calendar Raffle- This is the same raffle we ran last summer.
- Garage Sale in August or September. We need a place to store items that come in before the sale.
